Tips to write a Fax Cover Sheet
The following are some essential tips that you should follow while writing a fax cover sheet:
- In the template, you have seen that there are fields like Company name, Address, City, State, Zip Code, Phone Number, Fax number, Email ID and Website. First of all, you have to fill out all this important information. All these are the sender’s details which will help the receiver understand from where the fax has arrived.
- As seen in the above template you will now find various fields under the FAX heading such as ‘To’, ‘From’, ‘Fax number’, ‘Phone’, ‘Page’, ‘Re’, ‘CC’, Date, etc. You have to enter all this information. In the ‘Date’ field you have to enter the date of the day on which you are going to send the fax.
- After that, you will see some blank space below the Note heading. In this blank space, you have to give a brief description of what you have written in the main fax. This brief description is mainly required for giving the recipient a little understanding about the fax and its importance. But while you will write the brief description, ensure that you have not to copy-pasted the content which you have already written in the original fax. It will create a bad impression on you. Again you should not write too many messages on the blank space below the Note as it may make the recipient lose his interest in reading the original fax.
- As shown in the template there are four checkboxes – Urgent, For Review, Please Comment and Please Reply. You have to check on any of those checkboxes. You should check ‘URGENT’ box when you need an answer in a quick interval, check the ‘For Review’ box when you will need your recipient to review the content and edit the content, check ‘Please Comment’ box when the recipient needs to look at the content and response on the content, and check the ‘Please Reply’ when you require a longer reply.
